The problem with sharing photos after a corporate event
After a gala, an offsite or an awards night, the photographer delivers a few hundred images. Someone in communications puts them in a shared drive and emails the link to everyone. Within a week it is a graveyard: people cannot find themselves, some photos should not be visible to the whole company, and nobody knows who has downloaded what.
Corporate photography also carries stricter expectations than a birthday party: executives want approved shots only, legal wants control over who can see attendee images, and marketing wants usable photos with the company branding intact.
How it works for company events
- Create a private event for the gala, conference or offsite. Set whether downloads are on, and add your logo or watermark so shared photos carry the brand.
- Upload from the photographer. Photos can come straight from the camera over FTP, from Dropbox or Google Drive, or by upload from the browser. They are matched to faces automatically as they arrive.
- Share one QR code or link on the invitation, on screens at the venue, or in the post-event email.
- Employees take a selfie and see the photos they appear in. They do not install an app or create an account, which matters when guests include board members, clients and contractors who will not sign up for anything.
Controls that matter to HR, legal and communications
- Privacy by event. Each event is its own space. The organiser decides who can open it and whether downloads are allowed. See private photo sharing for corporate events.
- Folders for different audiences. Use separate folders for an executive dinner and an all-hands, and protect a folder with a PIN where it should not be open to everyone.
- Co-hosts. Add a colleague from communications as a co-host so they can help manage the gallery without sharing your login. Actions are recorded in an activity log that only the owner can see.
- A clear storage policy. Say up front how long the gallery stays up and set it per event. The retention details are in how long galleries and photos are stored.
Get more from the same photos
- Photo challenges at team events give people a reason to take photos themselves and add them to the gallery: photo challenges at corporate events.
- A live photo wall at a large event shows guest and photographer uploads on a screen as they arrive. It is part of the paid passes.
- Analytics show how many people searched and what was downloaded, which helps you justify the photography budget.
Honest limits
Selfie search works best on clear, front-facing photos, and it will not match every face in every frame. If an attendee cannot find a photo, they can browse the gallery. Pixeva is not a replacement for your photographer or for your company's own policies on consent and image use; check those with your legal team before the event.
Common questions
Can we keep the gallery private?
Yes. The organiser controls who can open an event and whether downloads are enabled.
Do employees need to create accounts?
No. They scan the code, take a selfie and find their photos in the browser.
Can the photographer upload straight from the camera?
Yes, through camera FTP, which keeps the gallery up to date during the event. See what camera FTP tethering is.
What does it cost?
There is a free tier for small events, and one-time passes for larger ones. See the pricing page.
